Role: Controller – Stouffville/Remote

POSITION SUMMARY 

We are seeking an experienced Controller to manage the teams responsible for all general accounting functions as well as donor financial services.  This role is suitable for a candidate with senior financial and accounting experience within a medium-sized not-for-profit setting. 

Location: Based out of our Provincial Office in Stouffville with partial remote opportunity available.

A Typical Day

  • Manage month-end accounting process including approval of account reconciliations and monthly journal entries 
  • Prepare and analyze financial reports including monthly financial statements and variance analysis 
  • Manage KPI dashboard and other adhoc reporting prepared by the Financial Analysts 
  • Oversee the year-end and audit process including approval of year-end entries, review of audit schedules and preparation annual financial statements 
  • Assist in the budget process including the preparation of the budget packages and upload into the GL 
  • Manage the Accounts Payables, Accounts Receivables and Financial Analyst functions 
  • Manage the Donor Financial Services team including oversight of all donation processing and tax receipting functions 
  • Maintain financial system (Microsoft Dynamics NAV/Business Central) including GL chart of accounts and accounting mapping for financial reporting (JET Reports) 
  • Work with the other departments to ensure the accurate maintenance of the financial configuration for their respective information system 
  • Assist Chief Financial Officer with reports for Finance Committee and Board of Directors meetings 
  • Oversee material reporting and compliance requirements with regulatory organizations 
  • Oversee the administration of municipal contracts and other material contracts 
  • Review and monitors established policies, procedures and internal controls 
  • Project management as assigned

POSITION SUMMARY 

We are seeking an experienced Animal Care Coordinator (ACC) to be the centre lead in ensuring a high standard of care is being provided to our animal residents. ACC’s actively participate in daily rounds and animal care recommendations. They provide training, guidance and direction to both Animal Care Attendants and Volunteers. Customer service and related client administrative duties are paramount to the shelter and therefore also vital to the success of this role.  

A Typical Day

  • Advises the public in a variety of ways including responding to general inquires, adoption counselling, retention counselling, relinquishment counselling and general animal care questions  
  • Leads and delegates reception and administration duties, including greeting the public, answering phones, and maintaining animal records 
  • Assists the Centre Manager in animal care related decision making 
  • Vaccinates shelter animals on a regular basis and keeps track of vaccination inventory 
  • Performs regular animal enrichment based on the needs of the animal, including but not limited to exercising, engaging in play activities, and providing novel experiences/tastes/smells 
  • Supervises all volunteers, co-op placements, and fosters 
  •  Support the ACA team as necessary

  • Ensures the success of the Humane Education program by supporting the volunteer teaching team, promoting the humane education program in the community and facilitating the effective delivery of the Humane Education program.  
  • Forge relationships with community members to expand knowledge of Ontario SPCA programs and services.  
  • Deliver training and presentations to community-based organizations, government agencies and first responders on animal welfare topics and the inclusion of animals in human services.  
  • Recruit, coordinate and support volunteers to support the effective delivery of Outreach programs and services including education programs and community events  
  • Attends relevant community meetings; participating in community events that promote partnerships, strengthen relationships with social service partners and benefit the community.  
  • Coordinate the delivery of community support programs such as food support to food banks and mobile wellness events targeted at vulnerable animals.  
  • Oversees the planning and execution of existing community fundraising events and campaigns, including peer to peer, virtual and in-person (Cupcake Day, Sweat for Pets)  
  • Seeks new opportunities to engage and grow community fundraising partnerships and revenue through third party and volunteer-led events

POSITION SUMMARY 

We are building a new province-wide Philanthropy team to help grow donor engagement and execute our plan for fundraising revenue growth over the next five years. Reporting to the Director of Philanthropy, we are seeking four new Development Officers who will be responsible for generating critical donor revenue for the Ontario SPCA’s community-based strategic funding initiatives.

Two Development Officer roles will be dedicated to building donor relationships in each of our animal centre communities of Sudbury, and Durham and two additional roles will support our Eastern Ontario (Napanee, Brockville, Cornwall, and Renfrew) and Central Ontario (Midland, Orillia, and Muskoka) animal centre communities.

We are seeking highly motivated, results-driven relationship based-fundraisers to join our team in the new role of Development Officer. This role will have a phenomenal impact supporting pets and people in Ontario by raising philanthropic support for the highest priority animal care and program needs.

Status: Full-time, Permanent.

How Your Role Contributes to our Team:

Donor Relationship Management (80%)

  • Act as primary lead to develop and implement local individualized strategies to identify, cultivate, solicit, and steward a portfolio of individuals, businesses and foundation donors that will increase engagement and revenue.
  • Develop, maintain, and manage a portfolio of approximately 100 active local prospects and donors with a capacity to give one-time and multi-year gifts +.
  • Conduct research as required and continually populate donor pipeline with local businesses, foundations, and individuals.
  • Personally conduct cultivation, solicitation, and stewardship activities to meet revenue and donor-facing activity targets.
  • Customize donor-facing communication materials – presentations, gift proposals, gift agreements and recognition and stewardship plans to support local cultivation, solicitation, and stewardship activities.
  • As a community matter expert on local philanthropy and fundraising best practice, work collaboratively with colleagues to identify and execute opportunities to engage local prospects and donors in all aspects of our fundraising initiatives and mission.

Administration/Operations (20%)

  • Utilize Raiser’s Edge to document and track donor activities and support KPI tracking and reporting according to organizational practices.

Do You Have What it Takes?

  • 5+ years relevant experience with personally securing donations from individuals, foundations, and businesses.
  • Strong interpersonal and relationship building skills, and a demonstrated ability to deal with people sensitively, tactfully, diplomatically, and professionally.
  • Experience managing and activating a portfolio of donors, including developing a pipeline, prospect research, moving prospects through a journey from identification and qualification to solicitation and stewardship.
  • Demonstrated ability to develop new and steward donor relationships with prospects, donors, and volunteers.
  • Proven ability to manage multiple priorities on tight deadlines.
  • Exceptional presentation, communication and writing skills.
  • Working knowledge of Raiser’s Edge.
  • A university/college degree and additional training in fundraising or not for profit management is a strong asset.

POSITION SUMMARY 

We are seeking a Volunteer Coordinator at our York Region Animal Centre who is responsible for building a vibrant team of engaged volunteers that support animal care, adoptions, fostering and general shelter operations. Reporting to the York Animal Centre Manager and coordinating with our Volunteer Managers, the Volunteer Coordinator is responsible for the oversight and operation of the Markham Animal Adoption and Education Centre (MAAEC) Satellite Adoption Program as well as the coordination of the York Animal Centre Volunteer and Foster Program. This position is responsible for the coordination and delivery of monthly satellite adoption events, training a team of adoption volunteers, and reporting on process and outcomes of volunteer onboarding and adoption initiatives.

A Typical Day:

Adoption Events

  • Coordinate monthly satellite adoption events ensuring adoptable pets are available and ready for the event 
  • Work with volunteer managers to determine recruitment needs and train a team of 20-25 animal care and adoption volunteers to run adoption events at our MAAEC location  
  • Work with community outreach to promote and be present onsite for adoption events to supervise activities 

Volunteer Coordination

  • Working with the Ontario SPCA Volunteer Manager and York Centre Manager, build a thriving team of 150 animal centre volunteers that report to Animal Centre staff in the York Animal Centre 
  • Coordinate volunteer schedules, onboarding, training, and cohesion within the teams 

Volunteer Management

  • Coordinate the centre volunteer program including, training, scheduling and communications 
  • Prepares volunteer and co-op placement schedules in accordance with Centre needs.   
  • Ensures volunteer hours are recorded in the volunteer platform and maintains Better Impact Platform and keeps all documentation up to date, in coordination with the Volunteer Manager.
